WooCommerce offers the ability to manage users through a flexible multi-account and sub-account system. This system improves operational efficiency, streamlines team collaboration, and maintains clear order tracking and user roles across your business. Parent Accounts can manage users and orders, while sub-accounts can place and view orders based on the permissions given. This setup helps businesses stay organized, improves teamwork, and makes order tracking easier. It is a great way to keep control while allowing flexibility for different users.

Setup Instructions

Set Parent and Sub Accounts

  1. Access the WooCommerce Dashboard
    1. Navigate to your WooCommerce site and log in using your credentials.
    2. Use the left-hand menu to access various options like Products, Orders, and Settings.

  2. Navigate to Sub Accounts
    1. From the dashboard menu, click on Sub Accounts.
    2. You’ll be taken to the Subaccounts & Multi-User Accounts page to begin managing user roles.

  3. Enable Multiaccounts
    1. In the Sub Accounts section, check the box labeled Multiaccounts.
    2. This activates the multi-user management functionality.

  4. Assign Sub Accounts to a Parent Account
    1. Under User Editor, choose a user to act as the Parent Account.
    2. Select additional accounts to assign as Sub Accounts.
    3. Click Set accounts as subaccounts of parent to finalize.

  5. Convert Sub Accounts Back to Regular Accounts
    1. In the same User Editor, select any Sub Account to revert.
    2. Click Set Accounts to apply changes and update account roles.

  6. Confirm Account Changes
    1. Your changes will be saved, and account roles are updated accordingly.
  7. View Parent and Sub Account Hierarchy
    1. Go to the Users section. This displays a hierarchical view of Parent Accounts and their Sub Accounts.

  1. Navigate to Multi Accounts in Flourish Store
    1. Log in to the Flourish Store Application.
    2. From the Dashboard, select Multi Accounts. A new tab will show all Sub Accounts linked to the current Parent Account.

  2. Edit a Sub Account
    1. In the Multi Accounts tab, find the Sub Account you want to change.
    2. Click Edit Account to open the settings panel.

  3. Enter Details and Set Permissions
    1. Fill in or update personal details as needed.
    2. Set permissions appropriate to the Sub Account's role:
      1. Checkout (place order): Allows placing orders.
      2. View Account Orders: Grants access to the Parent Account’s order history.
    3. Click Update Multi Account to save your changes.

Order Tracking

Order Tracking from Parent Account

  • When logged in as a Parent Account:
    • Orders appear in the Orders tab.
    • Each order will display both the Sub Account’s name and the Order Number.

  • When logged in as a Sub Account:
    • Orders placed are visible in the Orders tab.
    • Each order includes the Sub Account user’s name and indicates it was placed on behalf of the Parent Account.
