New Mexico NMS2S Category Transition

NMS2S carries far more product types than BioTrack did. The state migrated inventory using a default mapping based on the legacy product type, but operators need to adjust these mappings and create new items to correspond to the new categories. This article covers how to work through the retype.

There are two separate passes

Updating Flourish does not update NMS2S at this time. NMS2S does not support updating via third-party tools.

1. Flourish item master. Remap the item catalog in Flourish. This is a bulk item update import.
2. NMS2S state-side inventory. Correct the product type on migrated inventory using the Correct Migrated Inventory action in NMS2S, record by record. Only state-approved alternates are selectable there.

How the Flourish fields are used

Item IDs do not change during the state migration, so the legacy ID stays usable as the mapping between your records and NMS2S.

Start from the state default, override only where an alternate exists

Map each legacy category to its default NMS2S product type from the Default Mappings Chart, then override using evidence in the item name, description, or ingredients. Override only where the state lists that type as an approved alternate for the legacy type. If the type you want is not an approved alternate, the Migration Correction Tool will not offer it, and your Flourish category will not match what the state will accept.

Where the defaults are usually wrong

Across the operator files we have mapped so far, these corrections account for most of the work.

Extraction method: volatile vs non-volatile

Most concentrate and infused types split three ways: volatile solvent, non-volatile solvent (mechanical), and CO2. BioTrack did not record which. Use the naming convention as the working assumption, then confirm it with the operator before loading:

• Non-volatile solvent: rosin, hash, bubble, kief, anything labeled solventless
• Volatile solvent: distillate, wax, shatter, badder, diamonds, live resin, and most cartridges
• CO2: only where the item or process is explicitly CO2

Dead ends the Correction Tool cannot fix

Some items are in the wrong legacy category, and the state chart offers no route out. In each case, correct the legacy category before the state-side pass, or raise it with CCD.

• A Flower Lot that is actually trim. Legacy Flower Lot maps only to Dry Flower, Fresh Frozen, or Deli Style Cannabis. Collected Trim is not an approved alternate.
• Pre-rolls filed under Extract for Inhalation. No pre-roll type is an approved alternate for that legacy category.
• Packaged topicals. Legacy Cannabis Infused Topicals maps only to Solid Topical Unpackaged. The Packaged topical types exist in NMS2S but are not reachable from this legacy type. This seems to be a gap for those selling finished salves, sticks, or balms.
• Tinctures filed under Extract for Inhalation. Cannabis Tincture Packaged is not an approved alternate.

Packaged vs bulk has testing consequences

This is not just a labeling distinction. Packaged final product types require their inputs to be full-panel tested. Most unpackaged types cannot inherit input test results at all, and several infused types can inherit pesticide results only. An item typed packaged when it is really bulk, or the reverse, creates a testing problem downstream.

Clean up before you load

Note: Flourish already prepared draft re-mapping files for existing clients. Please coordinate with the client services team for assitance. Flourish's MCP Connect (AI tooling) is useful in assessing the item set-up.

1. The NMS2S categories must exist in the Flourish config first. The import matches on category name; an unrecognized name fails the row.
2. Disable test and placeholder items rather than migrating them. Names like "Test Lot," "OLD DO NOT USE," or numeric-only names create junk state-side records that are painful to clean up later. Check for false positives first.
3. Resolve ambiguous brand lines as lines, not as rows. Unlabeled product families are usually one question that clears dozens of items at once. Sort the review list by product line before taking it to the operator.
4. Ask about items you would expect and do not see. A cultivator with no Fresh Frozen items, for example, either has not built them in Flourish or has them hiding under Flower Lot. Fresh Frozen is an approved alternate, so this is easy to fix before migration and hard afterward.
5. Confirm UOM. Nothing in the category mapping changes UOM, but NMS2S quantities are gram and mL-based. Pound-denominated lots need to reconcile against state-side quantities during dual entry.
6. Note grade suffixes. Smalls, Shake, Micros, and Bigs all collapse into Dry Flower. That is correct per the state chart, but the grade structure then lives only in the item name. Confirm that works for the operator's wholesale workflow.

After Launch

• The Correct Migrated Inventory pass in NMS2S. The Flourish import retypes the item master only.
• Expiration dates. NMS2S auto-filled every migrated record with a date one year from migration. Correcting those is the licensee's obligation and is the largest hidden workload of reconciliation, heaviest for manufacturers where nearly every SKU is a dated manufactured good.
• Weight or volume per package for edible, topical, and liquid products, which BioTrack did not store.
• Room placement on shared-address licenses. Where two or more licensed activities share a premise, inventory loads into a default room per activity. Anything intended for retail sale has to be moved to the sales floor room.

Keep a record of weights and volumes, package counts, full 16-digit inventory IDs, and testing details for everything in your possession before the state-side pass, in case a migration correction needs to be reconstructed.
