Invite and Manage Buyer Portal Buyers (Sellers)

Invite buyer companies to your Buyer Portal, assign ship-to destinations, set payment terms, credit limits and order approval, and manage buyer accounts.

Buyers join your Buyer Portal by invitation. You decide which of their locations they can ship to, their payment terms, and whether their orders need your approval.

Before you begin

Each buyer location must already exist as a Destination in Flourish, with its license on file. Create any missing destinations first.

Invite a new buyer company

  1. Go to Settings > Ecommerce and open your menu.
  2. Select the Buyers tab and click Invite buyer.
  3. Choose New company account.
  4. Enter the Legal / DBA company name, the Primary contact name, and the Contact email. The contact becomes the administrator of the buyer's account, and the company name becomes the buyer's company name in the portal. The buyer's administrator can change it later.
  5. Under Ship-to Destinations, search for and select the buyer's locations.
  6. Optional: set Share order history from to a date. Orders and invoices from that date on appear in the buyer's portal. This includes orders you created in Flourish.
  7. Click Send invite.

The buyer gets an email with a link to create their account. The invite expires after a set period. To resend it, click Re-send invite (the paper-plane icon).

When the buyer creates their account, it's Active right away. You don't need to approve it. Every location you picked starts as Shipping here, so the buyer can order for it with no extra step.

If the buyer's license already belongs to a company that buys from another Flourish seller, the buyer joins that existing company instead of creating a duplicate, and the company keeps its existing name. Until that company's administrator approves, the buyer shows Join request pending.

Invite someone to an existing buyer company

  1. Click Invite buyer and choose Existing company account.
  2. Select the Buyer account and enter the person's Full name and Email.
  3. Under suggested access, choose Ordering, Billing, or both. To let them manage their own team and locations, select Also suggest team & destination management.
  4. Click Send invite. The buyer company's administrator makes the final decision on access.

Set payment terms, credit, and approval

Payment terms, credit limit, and order approval belong to the buyer, not to a menu. What you set applies to that buyer on every one of your menus, so it doesn't matter which menu you edit them from.

  1. Open the menu's Buyers tab and select the buyer, or click Edit buyer. You can also open the buyer from the Buyers roster and click Edit account terms.
  2. Under Payment terms & credit, choose the Default payment terms (COD, Net 15, Net 30, Net 45, or Net 60) and enter a Credit limit. The default terms apply to new destinations.
  3. Under Destinations, click Edit terms on a destination to override its payment terms, net days, or credit limit for that location. Then set Approval to Account default, Required, or Not required.
  4. Click Save terms.

Buyers can see their terms and credit limit on their Account page.

Orders from buyers you invite don't need your approval unless you set a location's Approval to Required. An order skips approval only when none of the destinations in it require approval.

The credit limit does not block orders. An order that takes a buyer over their limit is flagged Credit-flagged in your Approvals queue for you to review.

Choose where a buyer can ship

On the buyer's Destinations list, each assigned location is set to Shipping here or Not shipping here. The buyer can order only for locations set to Shipping here. Locations you pick when you invite the buyer start as Shipping here. To stop a location from receiving new orders, switch it to Not shipping here. Its order and invoice history stay in place.

To add another of your Flourish destinations, click Assign another destination.

To check or fix a location's full address, payment terms, delivery notes, contacts, or assigned reps, click the link on its row to open its destination record in Flourish in a new tab. The link appears on the buyer's edit page and on the buyer's Destinations tab, but only for locations matched to one of your Flourish destinations. Account Rep users don't see it.

Pause a buyer's access

Open the buyer and change Account status to Disabled. To restore access, set it back to Active.

View all buyers

Go to Settings > Ecommerce > Buyers to see every buyer account by name, with its status, assigned rep, menus, and signals such as credit warnings. Filter by status (Active, Invited, Pending, or Disabled), or use By rep to see one rep's buyers.

To edit a buyer's account, click the pencil icon (Edit account) on its row and choose a menu. Flourish opens that buyer's edit page in the menu you chose.

The assigned rep is for reference only. It doesn't limit access: Account Rep users can open, preview, and build orders for any buyer, not only their own.

Open a buyer to see their Overview, Orders, Credit & AR, Destinations, and Team.
