Change the Customer on a Retail Purchase

Purpose

Replace the customer on an open retail order when it's assigned to the wrong existing profile. Flourish allows this only while the order is Created or Submitted. Once an order is Packed, use the approved reversal or edit workflow instead.

Prerequisites

Before you start:

  1. Confirm this is the correct order to reassign.
  2. Confirm the replacement profile is the correct existing record.
  3. Confirm the order is Created or Submitted.
  4. Review the replacement customer's identity, customer type, medical information, and purchase eligibility.
Your role must include the Change the customer associated with an order permission in Flourish Web, Retail POS, or both. If this permission isn't enabled for your role, Replace Customer does not appear in the purchase menu — enable it before troubleshooting further.

To grant the permission in Flourish Web:

  1. Go to Settings > User Roles.
  2. Select the facility.
  3. Select the pencil icon to edit the role.
  4. In the Retail section, open the Actions menu next to Purchases.
  5. Toggle on Change the customer associated with an order.
  6. Select Save.

To grant the permission in Retail POS:

  1. Go to Settings > User Roles.
  2. Select the facility and Point of Sale.

  4. In the Shop section, open the Actions menu next to Cart.
  5. Toggle on Change the customer associated with an order.
  6. Select Save.

Replace the Customer in Flourish Web
  1. Open Retail and select the Purchase ID.
  2. Select Edit Purchase.
  3. Select Replace Customer.
  4. Search by name, email, or phone.
  5. Review the replacement profile.
  6. Select Replace Customer.

Replace the Customer in Retail POS
  1. Open Queue.
  2. Find the order under In-Store or Pickups.
  3. Select the customer name to open the purchase.
  4. Open More and select Replace Customer.
  5. Search by name, email, or phone.
  6. Review the replacement profile.
  7. Select Replace Customer.

Verify the Updated Order

After replacement, review:

  • Customer name and ID
  • Medical or recreational status
  • Registry information and expiration
  • Purchase limits
  • Customer-specific discounts or credit
  • Delivery or contact information

In a medical state, the replacement customer must have a medical card on file in Flourish. In a recreational state, the customer must meet the legal purchase age or have a medical card. Flourish blocks the transaction with a warning if the replacement customer doesn't meet these requirements.

Expected Result

The open purchase is associated with the correct customer profile and passes the applicable validation before fulfillment or checkout.
