Florida BioTrack Order Fulfillment and Shipping
Users must register a shipping manifest in the BioTrack State Traceability System to move cannabis inventory between licensed locations.
First, create an order in Flourish's Outbound module. Allocate inventory to the order.
Once an order is allocated and ready to ship, follow these steps to create a shipment. Submit the shipment as a BioTrack manifest to compliantly ship the shipment. Flourish handles any modifications, such as adding/removing an order, adjusting the times, and changing the driver or vehicle until the shipment is marked as shipped. Once the shipment is shipped it must either be received or cancelled.
Creating and Manifesting a Shipment
Note: If all the inventory on the shipment is non-cannabis, the shipment isn't manifested to BioTrack. You can just proceed with shipping.
- Select one or more orders (hold shift to multi-select) and click "Create Shipment." Alternatively, create a shipment and then select one or more orders to assign to it.
- Fill in the required fields and save the shipment
- Shipments require two drivers.
- The time of departure must be in the future.
- The estimate time of arrival must be later than the time of departure.
- The menu options will only show drivers and vehicles that are successfully synced to the BioTrack system.
- A Planned Route is required. This is an open text field.
- A user can add multiple stops and re-arrange the stops by dragging them up or down as needed.
- Click on the eye symbol under actions to quickly navigate to the Order screen.
- Click "Create Manifest" to sync the shipment to the BioTrack system. This registers the manifest with the state. Generally, Flourish will return a success message. However, if it takes time for BioTrack to respond, see the sync status indicated on the All Shipments screen.
- See the green check beside the shipment number:
- Complete the shipping process by marking the order as "Shipped" either with the menu action to "Ship Shipment" or within the shipment screen to "Ship Transfer."
- Confirm the time of departure in this final step
Confirming a Shipment's Receipt
BioTrack requires a user to confirm the arrival when the driver reaches the destination.
- Navigate to the shipment screen for the specific shipment to confirm
- Click the car icon in the Actions for the stop
- This will confirm the shipment's arrival at this stop.
- If you need to undo this action, click the red car icon a second time to undo. This is a useful feature to correct mistakes.
Cancelling a Shipment
Cancelling a shipment voids the manifest in the BioTrack system and releases the order to assign it to a different shipment.
- Navigate to the shipment.
- Choose "Cancel Shipment" in the menu action or click "Cancel Shipment" on the shipment screen.
Un-Shipping a Shipment
If the shipment is marked as "shipped" this feature will delete the corresponding inbound Purchase Order and return the Shipment to a state where a user can edit or cancel it. NOTE: This is only available if none of the stops are received. If stops are "marked as arrived" the user must un-mark them as arrived by clicking on the arrival icon.
External a Shipment
Shipping to another MMTC works the same as shipping internally. Things to note:
- In Florida you are NOT allowed to ship End Products externally
- Flourish will register the Invoice (order details) with BioTrack. Please ensure the financials are filled in and correct prior to shipping.
- The destination must be "Synced" with BioTrack and have the appropriate license number to successfully register the transfer.
