This document is specific to the Florida BioTrack STS Integration for Flourish Software

User Management

Users are managed directly in Flourish Software. Flourish will create the corresponding user in BioTrack and manage the password there accordingly. Users can only interact with the BioTrack STS system programmatically through Flourish's API connection, so they also won't be able to interact with the BioTrack system directly.

Setup New User

  1. Navigate to the User section in Flourish's Settings
  2. Click "Create New User" and fill in the email, first name, last name, etc. as required.
  3. Click "Add Credentials" in the Compliance Integrations section of the User Profile.
    To properly create users with BioTrack access (Compliance Integrations) details, you must be a BioTrack admin. (See Step 5 .a)
  4. Click "Add New" to register the user with the BioTrack system. The UBI (BioTrack's company identifier) and credential info is pre-filled.
  5. Click the green checkmark to validate that the user doesn't already exist (sanity check). If they did, we'd need to do a password reset.
    1. Optional: 'Admin' toggle;
      You must be a BioTrack admin To properly create users with BioTrack access (Compliance Integrations) details.
    2. Use a custom password if you want to know what the credentials are and save them elsewhere. The primary use case for this is if we're migrating someone from a different software system and want to preserve the password the other system was already using.
    3. The toggle "This user does not have any state compliance system credentials" is used for assigning roles that can only view and not make any edits in the system.
  6. Click Proceed to finalize the user setup
  7. Assign the user a role and click Save to complete the user creation

Password Reset

In the event of a security incident, re-activating a former employee, or migrating from a different Seed to Sale system integrated to BioTrack, an admin may need to trigger a password reset workflow.

  1. Locate the user in the User section within Flourish's Settings
  2. In Edit mode, click the pencil icon beside Compliance Integrations to open the credential mapping screen
  3. Click "reset password" to start this process
  4. The user will receive an email from traceability-noreply@biotrackthc.com with a link to input the reset password. Flourish suggests a random, secure password to use.
    If you use this, please save it temporarily, as you will need this in steps 5 and 7.
  5. Click on that link and enter the credentials.
    You must re-enter this password in Flourish to validate it. Please remember/save the password. This doesn't need to be your Flourish password.
  6. BioTrack STS will confirm the reset. Return to the Flourish screen.
  7. Enter the password and click "Validate" to confirm the connection. It is OK if you've closed the screen already. Type the new password into the password field and click "validate" to validate the credentials.
  8. Once validated, click "Proceed" and the re-set process is complete.

Offboard Existing Users

Navigate to the user in Flourish's user list in the Settings and disable the user. This will disable them in BioTrack's STS system as well. Users won't be able to log into Flourish. Users can only interact with the BioTrack STS system programmatically through Flourish's API connection, so they also won't be able to interact with the BioTrack system.

  1. Locate the user in the User section within Flourish's Settings
  2. Disable the user using the menu option. It's always recommended to DISABLE a user instead of DELETING the user unless the user was made in error (ex: a type-o in the email during creation).
